Privacy Policy

Whole Grain Solutions LLC (“Whole Grain Solutions,” “we,” “us”) is a restaurant technology consultancy based in Arlington, Virginia. This policy explains what information we collect through wholegrainsolutions.com, how we use it, and the choices you have. We keep it short because we collect very little.
What we collect
- Information you give us. When you fill out our contact form, we collect your name, email, phone number, restaurant name, the services you’re interested in, and anything you write in the project details box. If you email, call, or text us, we get whatever you include.
- Scheduling. If you book a call through Calendly, Calendly collects your name, email, and any answers you provide, under its own privacy policy, and shares them with us.
- Basic site analytics. We use privacy-friendly, cookie-free analytics from our hosting provider (Cloudflare) to see things like page views and which pages people visit. It doesn’t track you across other websites or build a profile of you.
- Security checks. Our form uses Cloudflare Turnstile to block spam bots. It may process technical details like your IP address and browser information for that purpose only.
How we use it
- To respond to your inquiry, schedule calls, and send proposals or follow-ups you asked for.
- To deliver and invoice services if you become a client.
- To keep our website secure and working.
We don’t sell your personal information, and we don’t share it with anyone for their own marketing.
Text messages (SMS)
If you text us, or tell us it’s okay to text you, we may text you about your inquiry and scheduling. Message frequency varies. Message and data rates may apply. Reply STOP at any time to opt out, or HELP for help. Consent isn’t a condition of any purchase.
Mobile information won’t be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent aren’t shared with any third parties, except service providers that help us deliver messages.
Who we share it with
We only use a few trusted service providers to run the business, and they handle your information on our behalf:
- Cloudflare (website hosting, form processing, spam protection, analytics)
- Google Workspace (email and documents)
- Calendly (scheduling)
- Bonsai (client management, proposals, and invoicing)
We may also disclose information if the law requires it, or to protect our rights or someone’s safety.
How long we keep it
We keep inquiry information as long as needed to respond and follow up, and client records as long as needed for the work and for tax and legal purposes. You can ask us to delete your information at any time.
Your choices
You can ask to see, correct, or delete the personal information we hold about you, or opt out of any communications, by emailing [email protected]. We’ll respond within 30 days. Depending on where you live, you may have additional rights under your state’s privacy law, and we’ll honor them.
Security
Our site is served over HTTPS, and we limit who can access your information. No system is perfectly secure, but we take reasonable steps to protect what you share with us.
Children
Our services are for businesses. We don’t knowingly collect information from anyone under 18.
Changes
If we change this policy, we’ll update the date at the top of this page.
